Full job description:
The Purchasing Manager is responsible for developing and executing purchasing strategies, tracking metrics to reduce expenses, negotiating deals, and managing vendors. They ensure clear requirements, forecast market trends, mitigate risks, and collaborate with stakeholders.

Procurement Strategy:

  • Develop and implement a comprehensive procurement strategy aligned with the company’s goals and objectives.
  • Analyse market trends, conduct research, and identify potential suppliers/vendors to ensure a competitive advantage and cost-effectiveness.
  • Consideration of BBEE Strategy in selection of suppliers along with quality and pricing metrics.
  • Stay up to date with industry best practices, innovations, and emerging trends in procurement.

Supplier Management:

  • Identify, evaluate, and select reliable suppliers/vendors based on quality, price, delivery, and service.
  • On boarding of new suppliers.
  • BEE certification – Part of BEE task team.
  • Negotiate favourable terms, conditions, and pricing agreements to optimize procurement outcomes.
  • Maintain strong relationships with suppliers, ensuring open lines of communication and resolving any issues or conflicts that may arise.
  • Monitor supplier performance and conduct regular reviews to ensure compliance with contractual obligations and quality standards.
  • Resolving supplier disputes and finance discrepancies.
  • Sourcing of new stock/equipment as per company requirements.
  • Procuring and maintaining “3 quote system” when procuring new goods.

Purchase Order Processing:

  • Collaborate with purchasing team and management to determine purchasing needs and requirements for each event.
  • Prepare and issue purchase orders accurately and in a timely manner.
  • Monitor order status, track deliveries, and ensure timely receipt of goods and services.
  • Address any discrepancies, damages, or shortages with suppliers and coordinate resolution.

Stock counts and reporting:

  • Ensuring accurate, timely, mid and month end stock counts with purchasing/stock team company wide
  • Reporting monthly on stock count accuracy, wastage, variances, and warehouses of concern.
  • Requesting feedback from designated warehouse leaders.
  • Aiding warehouse leaders on investigations.

Compliance and Documentation:

  • Ensure compliance with company policies, industry regulations, and legal requirements in all procurement activities.
  • Maintain accurate and up-to-date records of procurement transactions, contracts, and supplier information.
  • Ensures disciplinary procedures and documentation are completed according to business operational Standard and Management Policy.

Full job description:

Role Purpose: The aim of this role is to ensure the effective confirmation, management, planning and coordination of events at the Forum – Campus. The incumbent in this role will be at the forefront of inspirational for all occasions.

Key Tasks and Outcomes: Event planning

  • Management of all small conference and function enquiries including following up, sending of relevant materials, costing etc.
  • Ensuring that spaces are not over booked and that areas allocated take the number of clients that are booking.
  • Complete function sheet within 1 week of event taking place on all details, including layouts, agenda, menu, AV requirements etc.

Operations

  • Conducting site inspections with potential and existing clients.
  • Meet with your clients on the day of the event, check with them through the function.
  • Feedback to client post event and on further potential bookings.

Financial

  • Weekly reporting on conferencing and function enquiries by month with status update and reason for cancellation if applicable.
  • Reporting and tracking on conversions and cancellations.
  • Preparing quotations for sign off.
  • Ensuring terms and conditions are signed off to hand over to the AR controller.
  • Prepare final invoice for client sign off and final payment to be made.
